Archiving Macintosh Entourage files and folders

Use this method for archiving your Entourage e-mail to the Archive1 server.

From the Finder

1.     Call Help Desk (792-9700) and request a directory on the Archive1 server. The Help Desk has to set this up before you can login to archive Entourage folders.

2.     From the Finder menu, select GO-> Connect to Server

3.     Type at Server Address: smb://archive1.emr.musc.edu/archives$/yournetid

4.     Click Connect

5.     Follow server login process using your NetID and password

From inside Entourage

1.     Choose menu item: File -> Export

2.     Choose ‘Items to an Entourage archive’

3.     Check all of those items you want to include in the archive

4.     Click to the next step

5.     Delete Archived Items?:*

The point of archiving is to remove those items that may be useful, but are no longer necessary to keep online. So, click ‘Yes, delete items from Entourage after they are archived.’

However, if you want to test the process first, then click the ‘No, keep the items in Entourage after they are archived.’ This way, you’ll be able to test archive and restore before committing to it.

6.     When you click to move to the next step, you will likely see a dialog box that reads: Address Book Groups can not be exported. To export the contents of a group, select the group, drag it into the body of a new note, and then export the note.’**

7.     Click Continue – now you will see a dialog box that reads: Notes will be converted to text only...’ read the rest of the dialog, then click Continue.

8.     The ‘Save Archive File As’ appears. The default name will be Main Identity.rge you can change the name, but not the .rge extension.

9.     Navigate to your folder on the Archive1 server and save the file.

The process above creates a single .rge file will all information (calendars, notes, e-mail, contacts, etc.) in that file. However, you can use the drag and drop

 

* There’s a difference between Backing-up files and Archiving them. In a backup, you are creating a mirror image of all files and folders in order to retrieve and restore them if hardware fails. In Archiving, you are removing files (and maybe folders) that are no longer needed online, but are worth keeping where you can get to them. Use your archive space and delete the online files from Entourage.

 

** Easily overlooked, this is a really good tip. Since Entourage can’t archive Groups (personal mailing lists), you can create a new Note, then drag your personal groups into the notes. The archive will then keep these address as text.
