Glossary

Action - In a rule, specifies what to do with an item that meets the specified condition.

Address Book - A collection of address books or address lists that you can use to find and select names, email addresses, and distribution lists to quickly address messages. (See also Global Address Book, Outlook Address Book)

Appointment Section - A section of the Calendar that displays your schedule for one day in specified time slots.

Attachment - A copy of any type of file or Outlook item that you can add to an item and then separate from the item.

Category - A keyword or phrase that you can assign to related items so that you can easily track the items.

Condition - Defines the item to which a rule is applied

Contact - A person with whom you communicate on a business or personal level and whose information is stored in the Contacts folder.

Data Source - The merge component that contains the variable information for mail merge.

Date Navigator - A section of the Calendar displayed as two adjacent months, that you can use to navigate in the calendar.

Delimited Text File - plain text file in which fields and rows are separated by standard characters.

Delivery Options - Allow you to change Outlook's message delivery default settings.

Distribution list - A collection of user names, identified by one unique name, which is used to quickly address messages to multiple users.

Electronic junk email - Unsolicited email advertising for some product sent to a mailing list of group.

Email - An application that allows you to create, send and receive electronic messages.

Email Address - A string used to specify the user name and the location where users can send you email.

Email Etiquette - Proper guidelines users should follow when communicating electronically via email.

Exporting - A feature that allows you to save time by transferring information from Outlook into another program.

Field - A column in a table, or a box, in either a form or card, that contains information.

Filter - Used to display only the items that meet specified conditions

Find Bar - A group of buttons and commands that allows you to search for items in Outlook.

Folder - A tool that you use to store and organize Outlook items.

Form - An Outlook item designed for entering and viewing specific information.

Global Address Book - A list of all user names and global distribution lists in a particular organization that is created and maintained by Information Services Department.

Group - To arrange items in a specified sort order and display them in separate categories within a view.

HTML message format - HyperText Markup Language message format) A message format that support text formatting, numbering, bullets, alignment, pictures, stationery and web pages. (see also RTF message format, Plaintext message format)

Hyperlink - An object, text, or graphic that links to another Web page, email address, network, or other item in a message. By clicking the hyperlinked object, you can quickly call that resource.

InfoBar - Displays information about what has occurred or what action you need to take, and is displayed below the active folder.

Item - A basic element created in Outlook that holds information and is stored in a specific location.

Link - To create a connection between a contact in your Contacts folder, and another item.

Mail Merge - The process of linking static information contained in one document (main document) with variable information contained in another document (data source) to produce multiple unique documents with the same basic common structure.

Main Merge Document - The merge component that contains the static text and formatting.

Meeting Resource - An item with its own email account that you can schedule a meeting, and it will automatically accept or reject meeting invitations.

Merge Fields - Placeholder areas in a main merge document that link the main merge document to the relevant variable information in the data source.

Message format - The way information about a message is encoded. The format determines how the message can be displayed.

Message settings - Options that give information about the importance and sensitivity of a message.

Offline Folder File - A file with an .ost extension, located on your hard drive, used to store a local copy of Outlook folders.

Out of Office Assistant - A tool that enable you to apply specified rules and automatically send replies to incoming messages while you are out of the office.

Outlook Address Book - A list that contains all contacts that you create by using the Contact form.

Outlook Today - A page that allows you to see your day at a glance, by summarizing appointments, tasks and new messages.

Permission Roles - Specify the level of access that another person can have to one of your folders.

Plain text message format - A message format that contains the text only, without any text formatting, color, or pictures. (see also HTML Message Format, RTF message format)

RFT message format - Rich Text Format message format) A message format that supports text formatting, bullets and alignment. (see also HTML message format, Plain text message format)

Rules - A set of conditions and actions applied to items in folders.

Rules Wizard - A series of dialog boxes that takes you step-by-step through the process of creating a rule.

Search Folders - Named, up-to-date virtual folders that contain current views of all email items matching a saved set of specific search criteria.

Search/Receive Group - An Outlook tool used to control the behaviors of a group of Outlook items.

Sort Criteria - The categories by which a list of items can be sorted.

Sort Order - The sequence in which items are arranged.

Spamming - The act of sending unsolicited advertisements to email recipients.

Task - An assigned piece of work that you do regularly or just once that must be completed within a certain period of time.

vCard - An electronic business card file, containing a .vcf file extension.
