Policy Renewal Processes
The claim process
If your department receives damage, it is very important to notify this
office as soon as possible. Once notified, we can assess the damage
and notify our insurance carrier, The Insurance Reserve Fund. For the
items damaged in your area, we will ask you to provide the original
purchase orders or receipts. If you purchase replacements for the damaged
property, send us a copy of the purchase orders or receipts. Other documentation
that may be required include: incident reports; statements of witnesses;
correspondence; photographs; recordings; bills; estimates; property
or vehicle documentation and claimant forms.
Once we have obtained all of the required documentation, we can send
the information to our insurance carrier to process the claim. Our insurance
carrier will decide if the claim is covered, how much the settlement
will be and if further information is required.
The department will promptly be notified of the claim status.
Building and Property Coverage
This policy covers the buildings owned by MUSC and MUHA on or off campus
and all of the contents in those buildings. The covered contents does
not include data processing equipment which is covered under another
policy.
The deductible for this policy is $1,000; therefore, if a loss occurs
and it is less than $1,000, it is not covered through the Building and
Contents policy. If total losses from a claim are over the deductible
amount and reimbursement is received, we will transfer the funds to
the departments UDAK minus the $1,000 deductible.
Data Processing
This policy covers workstations, printers, copiers, network equipment,
scanners, software, data and any other computer related equipment. The
claim process is the same for this policy as for the Building and Property
policy. The deductible for this policy is $250; therefore, if a loss
occurs and it is less than $250, it is not covered through the Data
Processing policy. If total losses from a claim are over the deductible
amount and reimbursement is received, we will transfer the funds to
the departments UDAK minus the deductible.
Business Interruption
This coverage provides compensation for the loss of business income
and/or extra expense due to the necessary suspension of operations caused
by direct physical loss of or damage to covered property. "Business
Income" is defined as the additional expenses that are necessary
to avoid or minimize the interruption of business.
Helpful Hints
· It is recommended that each department designate an individual
to maintain records of the property in their area. These records should
include: A description of the property, original purchase information
including purchase orders, requisitions, receipts and asset numbers.
· If a department receives damage, notifying our department immediately
may decrease the severity of the loss. Some of the things a department
can do in the event of s loss are:
o If there is damage in your area, notify physical plant and our department
immediately.
o If a theft occurs, notify public safety and our department immediately.
o Freeze wet documents if possible,
o If hard drives, CD's, disks, tapes, microfiche or films are wet, leave
them wet.
o If equipment has been damaged, turn it off and leave it off.
o If available, cover any exposed items with plastic.
