<description>Broadcast date: 2008-06-13&lt;br/&gt;Link: http://www.musc.edu/exchange&lt;br/&gt;&lt;br/&gt;As announced last week, we are re-establishing the 180-day quota on messages within the &quot;Inbox&quot; and &quot;Sent Items&quot; folders and their subfolders today.  We are doing this to comply with long-standing MUSC procedure, to help users stay within their quota, and to recover space for the Exchange systems.  This quota affects ONLY &quot;Inbox&quot; and &quot;Sent Items&quot; folders, not other folders such as those created for mail moved from the GroupWise or IMAP systems.
&lt;br/&gt; 
&lt;br/&gt;WHAT THIS MEANS TO YOU:
&lt;br/&gt;Three times a week (Monday, Wednesday, and Friday), items within the Inbox and Sent Items folders older than 6 months will move to &quot;Deleted Items&quot; and sit there for **14  days**.  During this time, you can move the message from the &quot;Deleted Items&quot; folder to another folder exempt from the policy, such as &quot;Managed Folders, Older Mail&quot;.  Information on how to do this can be found at www.musc.edu/exchange, select &quot;Older Mail Folder&quot; on the left.
&lt;br/&gt; 
&lt;br/&gt;After 14 days, items will move to another folder and stay there for an additional **14  days**, which is also accessible to you via Premium Outlook Web Access (OWA).  Instructions on how to recover files that have moved out of &quot;Deleted Items&quot; can be found at www.musc.edu/exchange, select &quot;Retrieve Deleted Mail&quot;.
&lt;br/&gt;If you wish to store messages outside of the Exchange system, information can be found at www.musc.edu/exchange, &quot;.pst file&quot; for Outlook users and in the Macintosh-specific directions for Entourage users.

&lt;br/&gt;Five potential Card of the Season pieces of artwork were selected in early June by King Street gallery owner, John M. Dunnan, to compete for the title of Card of the Season. The artists range in age from 7-12 years old and have all been touched by the Children&apos;s Hospital in some way.  Each child has agreed to participate in this year&apos;s project to help others in need, sometimes including those dear to them or as a way to thank the Children&apos;s Hospital that has helped them in the past.

&lt;br/&gt;Voting for the Card of the Season begins on July 1, 2008 and runs through July 31, 2008.

<description>Broadcast date: 2008-07-02&lt;br/&gt;&lt;br/&gt;UNIVERSITY P-CARD UPDATE - WEEKLY UPLOADS TO SMARTSTREAM:
&lt;br/&gt;
&lt;br/&gt;Beginning July 8, 2008, all P-Card transactions that have been allocated and signed off on will be closed and sent to Smart Stream each Tuesday morning at 7:30 AM.  Transactions that are still in your &quot;transactions requiring sign off&quot; will not be affected in the weekly Tuesday closings.  At the end of the billing cycle, all transactions from the &quot;transactions signed off&quot; and the &quot;transactions requiring sign off&quot; will be closed in WORKS and sent to SmartStream for the end of the month reports.  It is more important than ever that you allocate before the month end closing date.  Transactions that have not been allocated and are still in &quot;transactions requiring sign off&quot; will be uploaded to your default account and will require journal entries to correct.
&lt;br/&gt;
&lt;br/&gt;Remember to sign off only transactions with the UDAK validated.  Be sure there is not a red X in the comp/val/auth column of WORKS.
&lt;br/&gt;
&lt;br/&gt;This new procedure will allow us to update AVAILABLE BALANCE in the MUSC Financial Reports system weekly.  Departments can better track their expenditures.  If you allocate and sign off daily, you will see your transactions through Friday in AVAILABLE BALANCE on Wednesday of each week.  If you have only a few allocations to do and want to wait and do them closer to the end of the month, that is fine, too.  Just be sure to allocate and sign off on transactions before the monthly billing is closed out.   ALL transactions that were not in the weekly uploads (from the beginning of the billing period until the closing date) will be uploaded on the monthly closing date.
&lt;br/&gt;
&lt;br/&gt;Sharon Ford, our P-Card Administrator, is working on a calendar for FY09 for monthly billing end dates, Tuesday uploads, and end of the month uploads for the billing period.   It will be distributed shortly to all business managers and card holders.</description>
