Converting a powerpoint presentation (1997 version) into HTML

General Instructions

1. Keep in mind these instructions are step by step; therefore to be successful, go slowly and follow each step as written.

2. This protocol was written specifically for Window machines and for Powerpoint 97, although it can be used with some modifications with Powerpoint 98 on Mac stations. In this case, the designer will need to save the HTML files to his/her homeroom in order to zip them on a Window station as Winzip does not exist for Mac. Note also that this protocol is not to be used with Powerpoint 2000 or 2001.

3. Conceptually, it must be understood that converting a powerpoint presentation in HTML to upload in WebCT takes 3 separate steps, 2 of then taking place outside WebCT:

1. converting a ppt to HTML
2. zipping the HTML files into a single file
3. uploaded the .zip file in the WebCT file Manager, unzipping it and picking the index.htm file to post as single page or "adding" to an "Content Module"

4. Software needed: Powerpoint Microsoft Office 97 and Winzip (demo available at www.winzip.com).

Specific Step-by-Step Protocol

1. Converting a powerpoint presentation in HTML

1. Choose a powerpoint presentation to convert
2. Open it
3. In the Menu, under File, choose Save as HTML…
4. In the new window, click Next
5. Mark New Layout, click Next
6. Mark Standard (if you want to use frames, mark Browser Frames), click Next
7. Mark JPEG, with compression value 100%; click Next
8. Mark 800 by 600 and width of graphics 3/4 width, click Next
9. Enter email address (i.e. bacrotr@musc.edu) and the URL address for your home page if needed, make sure Download original presentation is marked, Click Next
10. Mark use browser colors, click Next
11. Mark any button style, click Next
12. Place navigation buttons anywhere (preferred is on right side) (mark Include slide notes in pages if needed), click on Next
13. Under Folder, click on browse to find the folder to save the converted ppt (create folder if needed),
Click Next
14. Click Finish
15. Save your new standard (type a name first, then Save; this will enable you to go ahead and save a standard presentation so that changes will not have to be made next time you want to create another presentation as HTML).
16. Will get the message Creating Web files…please wait and Exporting Files…
17. Will get the message "Presentation was successfully saved as HTML"
18. Click OK
19. Close or minimize the ppt

Note: Although conceptually identical to the protocol given for converting Powerpoint 2000 in HTML, the next two steps for Powerpoint 97 will be slightly different due to the fact that all the HTML files are contained in a single folder.

2. Zipping the HTML files with WinZip

1. Open the folder containing the HTML files
2. Under the Menu, choose Edit and Select All
3. Under the Menu, choose File and Add to Zip
4. In the Winzip Window, Choose I agree
5. Under add to archive, type the name for the new zip file (after the \)
6. Push Enter: the Winzip software then creates the zip file
7. Close the Winzip software
8. Return to the folder where the zip file was saved and check that the zip file is there


3. Uploading and unzipping the zip file in WebCT

1. Go to your WebCT page
2. In the left margin, click on Manage Files
3. Click on My-Files
4. Under Folder Options, select Create New and click on Go
5. Enter the name of the folder where the ppt will be uploaded (remember, folder names can not have spaces or symbols in their name and must not be too long), then select the location where the folder will be created
6. Click on Create
7. Click on Upload file and then on Go
8. In the Upload File window, click on Browse
9. Find the folder where the WinZip file is located, Select the zip file, click on Open
10. Select the destination folder that was just created (step 4 above)
11. Click on Upload
12. Should read a message file upload successful, Click ok
13. Move back to Manage Files in the left margin of the home page
14. Move to the folder where the zip file was uploaded, mark it
15. In the Select files window, scroll down to choose Unzip and click on Go. The zip file will then unzipped inside the chosen folder
16. The designer can then link the index.htm file to an icon and put it on your WebCT home page or add it as a file under the designer options of Content Module (Table of Contents).
